Why do people confuse these terms?

In everyday speech, the word POS often means three different things:

  1. a card payment device;

  2. sales software where items and sales are entered;

  3. the entire system that processes card payments, issues receipts, and tracks sales data.

That is why the question "do I need a POS?" does not have a single answer. First, you need to separate payment processing from receipt issuance, and then decide whether you want to complete both on the same device.

What does a POS terminal do?

A POS terminal or SoftPOS solution is used for accepting card payments. The payment service, contract, and transaction fees are provided by a bank or payment partner.

The terminal itself does not automatically have to issue a fiscalized receipt. In a disconnected setup, the employee first charges the card and then enters the exact same amount into a fiscal cash register or another software program.

In a connected BillKO setup, the sales entry, card payment request, and receipt follow one after another. On a device connected to BillKO, the customer can receive the card transaction confirmation and the receipt in the exact same process.

What does a fiscal cash register do?

A fiscal cash register generates the receipt and performs fiscalization when required. It needs to know what was sold, who the customer is when relevant, the tax treatment, the payment method, and the business premises data.

A fiscal cash register can be:

  • an application on a POS terminal;

  • an Android application on a phone or tablet;

  • a web or desktop interface connected to a printer;

  • part of a broader sales system.

The key is that the receipt is generated correctly and that the user can hand it over or send it to the customer.

When is a mobile app a better choice?

An Android application is a good choice when you want to issue receipts on your own phone or another Android device. With a printer, you can print the receipt, and without a printer, you can send it digitally when that method suits the receipt and the customer.

Such a setup is practical for:

  • field services;

  • events and seasonal sales;

  • taxis and transport;

  • small locations with limited space;

  • a backup or secondary point of sale;

  • businesses that already have a separate card terminal.

The BillKO Android app is available to all users, not just those with integrated POS terminals.

Three setups that make sense most often

  1. POS terminal with the BillKO app

Best for: businesses that want card payment processing and receipts on a single device.

How it works:

  1. you enter the sale in BillKO;

  2. you trigger the card payment;

  3. after a successful payment, BillKO issues and fiscalizes the receipt;

  4. the device prints the confirmation and receipt according to your settings;

This setup reduces double data entry and is great for salons, retail stores, hospitality, and locations with frequent card payments.

  1. Android app and printer

Best for: mobile businesses or users who want to work on their own device.

How it works: you manage sales and receipts in the BillKO app and print paper receipts on a printer. Card payments can be processed on a separate terminal or through a connected solution, depending on your partner and setup.

The advantage is flexibility: the same BillKO receipts and reports are available just as they would be via the web interface or on a POS terminal.

  1. Web interface and existing equipment

Best for: an office, reception desk, or permanent location that already has a computer and printer.

You issue receipts in the BillKO web interface. Card payments can remain on your existing terminal, and when you want to automate the connection between the payment and the receipt, we can discuss integration.

How to choose

Answer these eight questions:

  1. Do you accept cards, or do you only need to issue receipts?

  2. Do you sell at one fixed location, multiple locations, or in the field?

  3. Do you need a paper receipt, or do you mostly send them digitally?

  4. How many people issue receipts at the same time?

  5. Do you need to track items and inventory levels, or do you primarily sell services?

  6. Do you need to connect a webshop, payment link, or another system?

  7. What reports do the owner and accountant need?

  8. Which payment partner or device are you already using?

If your partner is not listed on the website, send us the device model and your preferred workflow. We will show you an existing option or discuss a new integration.

What to check before activation

  • the exact terminal or Android device;

  • the printer connection method;

  • the internet connection at the point of sale;

  • the contract with the payment partner;

  • business premises and fiscalization settings;

  • how cash, cards, and other payments are recorded;

  • refunds, voids, and failed payments;

  • who sets up the device and who provides support.

During a presentation, BillKO can walk you through the entire process using your own sales example. The payment partner confirms the card acceptance terms, and BillKO configures receipt issuance and related data.

Examples by industry

Salon or studio

The service is entered on the terminal, the customer pays by card, and the receipt is fiscalized and printed. Afterward, the owner can analyze turnover by payment method and time period.

Event or seasonal location

An Android device and printer enable mobile receipt issuance. If the location accepts cards, a separate or integrated terminal is used according to the chosen setup.

Taxi or field service

The receipt is issued immediately on a phone or Android device. It can be printed or sent to the customer, and the receipt goes into the exact same BillKO reports as receipts issued from the office.

Conclusion

You are not choosing between a "POS" and a "fiscal cash register" as two opposing things. You are choosing the combination of payment processing, receipt issuance, hardware, and reporting that fits your workflow.

BillKO offers integrated receipt issuance on selected POS terminals, an Android app with a printer, and a web interface for computers. During a presentation, we can compare these setups using your specific example.

This guide provides general information. The exact fiscalization setup depends on your business, device, payment partner, and applicable regulations.
