A sale is only complete when payment and invoicing are sorted out. In many businesses, these two steps still live separately: a customer pays at the terminal or online, and someone then opens another program, retypes the data, and manually issues an invoice.

BillKO connects these steps. Depending on the sales method, a successful payment can trigger invoice creation, fiscalization, and delivery to the customer. Less retyping means less routine work and a clearer status for every sale.

Four common payment methods

Card on a POS terminal

For on-site sales, the user enters the sale, the customer pays by card, and BillKO issues the invoice in the same process. On terminals connected with BillKO, card payment and the fiscalized invoice can be completed on a single device.

For a salon, store, event, or field sales, this means the employee does not have to repeat the same amount in two systems. The customer receives a payment confirmation and an invoice, and the sale enters BillKO reports.

Online payment in a webshop

The webshop can send order data and successful payment details to BillKO. The invoice is then created according to sales settings and sent to the customer without manually opening every order.

WooCommerce is currently directly connected, and other webshops and custom systems can connect to BillKO via API.

Payment link

A payment link is useful when a sale does not start in a classic webshop. The business can send a link to the customer, the customer pays through the chosen payment partner, and a successful payment triggers invoice creation.

This model is practical for reservations, services, memberships, orders agreed upon via email, or other situations where you want to offer the customer card payment without building a separate online store.

Bank transfer and payment status

With a bank transfer, the invoice can be issued before payment, and the status can then be tracked in BillKO when this connection method is enabled. The goal is the same: the sale, the invoice, and the payment status should not require a separate spreadsheet and manual reconciliation.

Automation does not mean losing control

A good automated process must have clear rules. BillKO setup determines which event triggers the invoice, what type of invoice is issued, how fiscalization is handled, and what happens when a payment fails.

That is why before connecting, we go through the concrete sales method:

  • who the customer is and what type of invoice they need;

  • when a payment is considered successful;

  • whether a B2C invoice, B2B/B2G eInvoice, or other invoice is issued;

  • whether the invoice should be sent by email;

  • how cancellations, refunds, or recurring payments are processed;

  • which payment partner and device participate in the process.

These questions turn automation into a reliable daily process that follows the actual way of selling.

One set of invoices for all channels

Online sales do not have to be separate from invoices you issue manually, at a POS, or via a mobile app. BillKO gathers these invoices in one place, with customers, items, payment methods, and reports.

The owner can more easily see what has been issued and paid. The accountant receives a tidier set of documents. The team spends less time checking whether an invoice was created in the webshop, at the terminal, or in the office.

Who provides the payment service?

BillKO connects payment with invoicing, but card and other regulated payment services are provided by the selected payment partner. The contract for payment acceptance, fees, and available payment methods depend on that partner.
